Job Summary:

The German Marshall Fund of the United States (GMF) is a non-partisan American public policy and grantmaking institution dedicated to promoting better understanding and cooperation between North America and Europe on transatlantic and global issues.

The Human Resources Coordinator assists with the administration of the day-to-day operations of the human resources functions and duties. S/he will provide support in the following functional areas: Recruitment and Staffing; Onboarding and Offboarding; Immigration and Compliance; HRIS; Training and Development; Benefits Administration; Compensation; Organizational Development and Executive Administration.

 

Key Areas of Responsibility:

  • Assist with updating and editing job descriptions, posting ads on GMF’s website and external sites and coordinating phone/in-person interviews;
  • Provide logistical support by arranging interview space, coordinating interview team schedules, and collecting recruitment documents from candidates;
  • Process background checks and conducts reference checks;
  • Assist in drafting general correspondence to candidates and staff to include rejection letters; and new hire and departure emails;
  • Assist with the onboarding and offboarding process to include drafting orientation schedule, conducting the orientation, creating necessary packets, and scheduling exit interviews;
  • Process HR vendor payments and reconcile invoices as needed;
  • Maintain and respond to inquiries sent to HR inbox;
    • Process employment verifications and letters to support visa requests for staff;
  • Assisting staff, interns, fellows, consultants and job applicants with HR related questions and requests;
  • Maintain employee file records up-to-date by handling changes in employee status in timely manner via our HRIS and in hard copy files;
  • Prepare and process documentation needed for new hires, or effective changes in pay, status, or benefits; maintain and monitor records of employee benefits and salary;
  • Draft and maintain contracts and offer letter;
  • Support the performance management process to include the annual performance review and goal setting process;
  • Provide general administrative support such as preparing correspondence, forms and reports, arranging meetings, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines, and taking down minutes as needed; and
  • Work on special projects and other duties as assigned.

 

Qualifications and Requirements:

  • 2-4 years of office administration experience to include communication, bookkeeping and human resources preferred. Candidates must have a strong interest in HR.
  • Proficiency with MS Office and experience with HR and Recruitment databases, ideally ADP.
  • Strong customer services skills and the ability to multi-task.
  • Attention to details.
  • Experience in presenting or conducting presentations, trainings, and or new hire orientations.
  • High level of initiative and motivation in addition to the ability to deal with confidential information.
  • Fluency in French or German a plus.
